Task Force Guidelines

The Campus FM Technologies Association (CFTA) is an organization that provides leadership opportunities to evoke change from and within the organization.  One such way is by serving on a task force.  This document serves to provide guidelines and information on how to establish a CFTA task force.

A CFTA task force serves to examine, assess, and develop recommendations for improving CFTA as an organization.  The task force members should meet to define its goals and then submit items for approval by the CFTA Board of Directors. A new task force should begin by addressing the following questions:

  • What is the role of the task force? (e.g. the problem you’re hoping to solve)

  • What are the specific tasks it hopes to address?

  • What CFTA information does the task force need, if any, to begin working towards its goals?

  • How often will the task force meetings occur? (monthly, bi-monthly, quarterly, etc.)

  • Who will serve as chair? - Chair is appointed by CFTA President, recommendations encouraged.


Formalities for Task Force Inception

  1. Task force makes recommendation of chair to President
  2. President formally appoints chair
  3. Chair formally accepts position
  4. Chair obtains the contact information, including email addresses, for all of your task force members
  5. Chair become familiar with the Bylaws of Campus FM Technology Association: Article III sections 3.12, 3.15, 3.16, and 3.17 and Article V Committees and Task Forces
  6. Chair works with task force members to outline goals
  7. Chair submits ideas and business documents to President for review during monthly Board meetings.  Chair may participate in person during “Committee/Task Force Reports” agenda item or submit specific tasks for review in his/her absence.
  8. When needed, task force may schedule meeting with Board in accordance with the CFTA Bylaws
  9. Task forces may meet as often as weekly to accomplish goals while other task forces, like the Business Partner Task Force, serves in more of an advisory role and may meet as infrequently as once a year.
  10. Task force may be terminated if inactive for one year.  

 

Task Force Order of Business

  1. When having conference calls, CFTA can provide a conference call line, if needed.
  2. Chair should communicate with CFTA President on a monthly basis about activities of the task force.  The CFTA Board meets on the second Thursday of every month.

  1. Meeting minutes are the legal record of CFTA’s business activities.  Task force information will be captured in the Boar regular meeting minutes and archived on the CFTA website.
